What You’ll Do
- Project Support Assist Project Managers with project-related correspondence, coordination, and administrative tasks.
- Client and Team Communication Communicate with project teams and clients regarding deliverables, task completion, process changes, and requirements using email, phone, and in-person communication.
- Documentation ManagementAssist in preparing and tracking client proposals, contracts, submittals, and correspondence (letters, transmittals, meeting minutes).
- Project Scheduling Maintain project schedules ensuring key milestones are met.
- Permitting CoordinationCoordinate permitting tasks with internal teams, clients, and jurisdictions.
- Client RelationsBuild and maintain positive relationships with clients, subconsultants, and vendors.
- Support and Miscellaneous TasksProvide additional administrative support as needed, such as delivering plans and proposals, and assisting with client calls when the Project Manager is unavailable.
Required Qualifications
- Experience supporting engineers, architects, contractors, or surveyors is preferred.
- Familiarity with the site development process.
- Proficiency with Microsoft Office Suite and project management software (e.g., Smartsheet, Trello, or similar).
- You have a "Do what needs to be done" mindset, taking ownership beyond assigned tasks and stepping in wherever needed to keep projects, teams, and clients supported and running smoothly.
- Strong organizational skills and the ability to manage multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Self-motivated, detail-oriented, and proactive approach to work.
